Catalogue
The catalogue is the core database of the Calm system, and is used to house a descriptive record for every item in your collections.
The catalogue database contains fourteen record types which are designed for the cataloguing of different types of material and information.
Record types may be classified as being Archive, Local Studies Library or Museum. The default Archive record types are Collection, Component and Analytical, however you can classify other record types as Archival record types and make them available for use via the Archive menu.
In archival terms the most important record types are Collection and Component, which are used to represent levels in a Collection by creating groups of records in a hierarchical structure.
The Collection record type is designed to catalogue groups of records at the highest level. Collection records are usually used at the top of an archival tree structure, for example at Fonds or Collection level.
Component records are designed to catalogue individual items or smaller groups of material such as sections or series within a collection.
Collection and Component are categories used in Encoded Archival Description (EAD), while the fields in the templates conform to the ISAD(G) standard.
Catalogue records may be linked to other catalogue records as well as Location records, Authority file records, Accession records and Conservation records. They may be issued as loans or productions.
Archival Tree hierarchies may be created in the Catalogue database. The RefNo field is used to link Catalogue records in a hierarchical structure to illustrate the component parts of a collection.
The Reports facility may be used to create catalogue reports using Word or HTML.
