Records

Some of the databases in Calm, particularly the Catalogue database, contain more than one record type. Record types are templates designed for dealing with different types of material. For example the Catalogue database has a record type called Book which is designed to catalogue books and similar material. You may also create your own record types using the Admin program. See the Catalogue Database Record Types page for a complete list of those supplied with Calm. The record types can be used to subdivide your Catalogue database into useful groups of material, making it easy to find, for example, all the Books, Objects or Photographs by searching specifically for the appropriate Record Type. They also mean that different fields can be presented in the record template, thus reducing the necessity for adding extra fields on an ad hoc basis. The record types in Calm contain default fields in a particular order, however you can use the Admin program to customise each record type to your own requirements. It is possible to hide record types using the Admin program. Each record type in the Accession and Catalogue databases is classified as belonging to either the Archive, Local Studies Library or Museum domain. For example the Object record type is usually classified as a Museum record type. However it is possible for you to reclassify the record types according to your own requirements via the Administration Menu in Calm.
