Catalogue Database Record Types

Default Record Types

Each of the three domains in Calm; Archive, Local Studies Library, and Museum have their own default record types which have been created according to professional standards. For example, for archives the most important record types are Collection and Component, which are used to represent levels in an archival collection by creating groups of records in a hierarchical structure. Collection and Component are categories used in Encoded Archival Description (EAD), while the fields in the templates conform to the ISAD(G) standard. For museums the most significant record type is Object, which is based on the SPECTRUM standard. It is, however, possible to reclassify any record type as belonging to any of the three domains: Archive, Local Studies Library or Museum, via the Administration Menu in Calm.

The complete list of record types available in the catalogue database is as follows, the usual classifications for the record types are shown in brackets:

Collection (Archives) This should only be used for the top level of an archival collection.

Component (Archives) The component record, as used in Encoded Archival Description (EAD), should always be used for levels below the Collection record.

Analytical (Archives) A piece of work (a document) containing information on an item in your collection. May be linked to another record in the catalogue database.

Object Collection (Museums) Used as a means of cataloguing a number of objects on one record.

Object (Museums) Used for cataloguing individual objects.

Photograph (Museums) Similar to an archival Component record, can be used specifically for photographic images.

Content (Museums) Linked to another record, a more detailed description of the item.

Book (Local Studies) The book record contains standard bibliographical fields, allowing a work to be catalogued in a conventional way, but also added to a Collection using the RefNo field where necessary.

Serial (Local Studies) The title record of a journal.

Association Additional information relating to an item, that you don’t want to put on the original record.

Article Used to catalogue an article from a journal.

Biography This record type has been largely superseded by the ISAAR compliant name authorities, it is unlikely that you will need to use it.

Vehicle Specialist object record for vehicles. This is hidden by default.
