New Place term/Fields

To add a new Place term select New from the menu, then Place from the Select Record Type dialogue box (there are two record types available here - Place and the optional UseRef) and enter the details.

Here is an example of a blank Place record. Please note that the example record will open a new window, when you have finished and wish to return to this page, use the cross in the top right corner to close the window. See the Complete Field List in the Calm section for further details on individual fields.

Place records are validated by Calm; you will receive an error message if you try to save a Place record with more than one PlaceEntry field, if the One-per-record validation option is set in the Record drop-down menu. If you do have more than one of these fields in an existing record, you will be warned every time you edit the record.

When you add a Place authority to a Catalogue record, it is the Code field which is copied and displayed on the Catalogue record.

Enter the lowest level of information, such as the name of a building into the PlaceName field, then enter higher levels into the Areas 1-5 fields, for example Area1 might be street name, Area2 district name and so on. You may wish to re-label the “Area” fields using the Admin program to reflect the way in which you want them to be completed.

Terms can be used at different levels e.g. Baschurch can be a Name on one record and an Area1 (or District) on another.

When the record is saved, the tree field called PlaceEntry, is automatically completed  with a hierarchical “string” using the content of the PlaceName and Area fields. Please note: the separator used in the PlaceEntry field is a forward slash or oblique (/).
For example, if you enter Jordan Well as the PlaceName, City Centre as Area1, Coventry as Area2 and Warwickshire as Area3, the PlaceEntry field would contain:
Jordan Well/City Centre/Coventry/Warwickshire.
If you want to amend the PlaceEntry field, simply change any term and save the record again.

Here is an example Place record showing the hierarchy in the PlaceEntry field. Please note: the example record will open in a new window, when you have finished and wish to return to this page, use the cross in the top right corner to close the window.

The Place Tree

The place tree may be viewed by clicking the Tree button followed by the PlaceEntry button in the side button strip. Please note: your record may be combined in a tree view with other records that have the same content in some of the Area fields. In this way you can build up a detailed place index for your area if required. Here is an example tree view which shows how a place is displayed in the order general down to specific. Please note: that the example tree view will open in a new window, when you have finished and wish to return to this page, use the cross in the top right corner to close the window. Further information on how to use trees and the options available from the tree menu can be found in the Trees section of this manual.

Linked Data

The linked data feature enables you to add data from external sources into fields on your Calm records. By default, the following data sources are available in Calm: AIM25, British Library and Wikipedia. The External Linked Data page explains how to link the data to your Calm Place records.
