Parameters Menu

Office Name

This option allows you to enter the name of your organisation. The name you enter will be included (at the top) when printing a hit list as a collection. The name is no longer printed on slips and tickets for productions/loans, as it was in previous versions of Calm.

Here is a recorded demonstration showing how to set up the name of your office in Calm. Please note that the demonstration will open in a new window.

 For reference, the steps shown in the demonstration are detailed below:

  • From the Main Menu, select Administration Menu.

  • From the Administration Menu, select Parameters Menu.

  • From the Parameters sub-menu, select Office Name.

  • A dialogue box appears.

  • Enter the name of your repository, then press OK.

Opening Times

This option allows you to set opening and closing times for each day of the week, using the 24 hour clock. These times are no longer used during the production process, as they were in previous versions of Calm.

Set Report Viewer

You can choose to view reports from HTML Scissor which is supplied with Calm, or use your own default browser such as Internet Explorer.

Loans Parameters

This option allows you to alter several parameters which are involved in Archive Loans.

You can only issue a single item on an archive loan. The parameters "maximum number of items allowed on any one loan" and "number of items on loan before warning message" are no longer used, as they were in previous versions of Calm.

You can enter text that will appear as a default in the "Reason/Usage" entry on the dialogue box displayed on issue.

Note: The above three settings for Loan parameters are machine specific. So on a multi-user system each client may have different settings.

There is an Autoprint facility available. If this is enabled then the "minutes between checking for loans" parameter will activate. Each time the number of minutes set has passed, Calm checks the archive loans database for any items requested but not issued during that period. All items that fall into this category will be automatically issued and slips sent to a designated printer. This is particularly useful where users are doing self requests through the document ordering facility in CalmView.

Use the "Purge Threshold" parameter to enter the number of months that you wish to keep completed loan records for. For further details on the purge process, see Purging Loans or Purging Productions.

Items cannot be issued or returned on days when the office is closed, for example Saturdays, Sundays and bank holidays. As Calm allows the public to view the catalogue (selected fields and non confidential records only) and make bookings to then view items, a closed days option is provided and, once completed, will automatically reject bookings – issues or returns - which clash with the closed days.  Calm will accept either specific dates or particular days of the week as closed dates, for instance if the repository is always closed to the public on Wednesday and you enter Wednesday in the calendar, Calm will not allow any bookings to be made on a Wednesday.

Note: Every day on which the repository is closed must be entered into this calendar, including weekends and bank holidays.

Image Database Parameters

This option is for users with the optional add-on Images database. You can set the folder in which images will be placed prior to uploading into the Images database, define the file types checked during scanning, define fields to which you wish to add default content during scanning, and map Exif fields from metadata onto fields in your Calm records.

The four parameters that you can set here are used for the Scan folder function. The Images database is accessed from the Extras Menu and the Scan Folder button is found on the button strip.

When you press the Scan Folder button, you will be asked to enter default content for specified fields (set here in parameters), all image files with the appropriate extensions (set here in parameters) contained in this image path (set here in parameters) will be moved to the Calm image folder (default is \dscribe\images when Calm is provided, but this can be changed in the Admin program, see demonstration below). A new record containing data from mapped Exif fields (set here in parameters) is created in the images database for each file copied from the local image path to the Calm image folder, and each record will have a link automatically made to the relevant image file.

For reference, the steps shown in the demonstration are detailed below:

  • Run the Admin program

  • First, open a database. Click on the File drop-down menu, then Open. Click on any database in the list shown, then click OK.

  • Click on the Folders drop-down menu, then Image files...

  • A dialogue box appears.

  • Enter the path for the new default image folder and press OK.

Cross-database Search

The databases you list here are used in the cross database search option available from any record screen. A cross database search will find your term in every text field of the records in each database you select here. Please note: this type of search will not search in non-text fields, such as date, number, or tree fields. Please note: At present, this type of search does not support wildcards.

This parameter allows you to set up a reference to the server name and URL where DServe is installed.
