Archive Loans
The Archive Loans database allows you to issue an item to a specific named user to whom it will be recorded as being on loan. This could be used for short term (less than a day) productions of material to a reading room which never leave the building, or longer term loans to staff, to exhibitions, or to external organisations for example for conservation work. Loans and productions are handled very similarly by the system; the only difference between them is that a production is assumed to last for less than a day, so Calm will infer that its return date is the same as its loan date. For loans, you must choose both a loan and a return date.
Productions
This allows you to manage the process of document ordering and productions. An immediate or forward order (a booking) can be entered, so that the process of physical retrieval from closed access collections or strongrooms can be managed. Picking lists can be produced, and it is easy to overview what productions have been booked for today. Access is also provided to the linked Resources database so that you can book or search for a resource record.
Productions provides the ability for staff to generate a Production Slip for any Item requested by a User. This works on the basis of identifying the item to be produced and the appropriate user record, then selecting the date on which the item is required - either today’s date for an immediate request or a date in the future for a booking. Production slips can be printed when an item is issued.
Loans
You will notice that the Loans section works in a very similar way to the Productions section. The only difference is that loans are usually more than one day in length and leave the building, productions are only available for one day and stay in the reading room.
