Names authority file

The Names Authority file is a database in which you can record significant people and corporations which relate to the items in your collection. Name records can then be linked to the relevant records in your catalogue database to allow you to draw out and explore the links between your collection and the people and organisations in your Name Authority File records. Archives and Local Studies Libraries link catalogue records to authority files using the Authorities button in the side button strip and Museums use the Associated button in the side button strip.

Each name record has space to record both name and biographical information. There are four different Name Record Types (or templates) which are designed to record various types of names:

Person: For recording the names and biographical details of significant individuals
Family: For recording the names and biographical details of significant families, please note: that you may create both Family records and Person records about significant individuals from families.
Corporate: For recording information about bodies or organisations such as companies, trusts, charities, unions or departments within organisations
People: for recording information about significant groups of people who are not considered "corporate" names, such as social groups like Miners or Agricultural Labourers or Factory Workers. The People Record Type is also used for recording information about couples or smaller groups of people who are connected in some way, such as married couples, partners or people who co-authored a book.

Please note that fields and properties in the Name Authority file have been created to achieve compliance with the 2nd edition of ISAAR.

The Names menu (shown below) is accessed from the Authorities Menu.
