Offline Document Ordering
If you don't wish to connect CalmView to your live Calm system, choose this option to allow researchers to request orders by email instead.
Order Process
The researcher will need to add items they wish to order to the 'My Items' basket. If an item can be ordered, it will have a checkbox next to it. Once item/s have been selected and the button has been clicked to place the order, the researcher is presented with a form requesting their name, email address and a text box to detail any special requests. Here's an example of this form. Please note: the example screen will open a new window, when you have finished and wish to return to this page, use the cross in the top right corner to close the window. You can customise the header and footer on this form and also the wording on the 'Order selected items for viewing' button on the My Items page, using the configurator.
Clicking the email request button will send an email to the
configured
email account (destination email address). The email will
contain the user's name and email address, as well as the date the request was
made and any special requests added. The RefNos and Descriptions of the requested
items will be listed underneath. Please note: The email will not be sent
from the researcher's personal email account, the content of the 'From' field of
the email will be the source email address you have chosen in the configurator,
therefore any response to the researcher will need to be emailed to the address
they have supplied.
Staff will now need to process the order manually; using Calm to check the
availability of items and whether the requested date is suitable, and then
issuing the items if appropriate. They must also remember to book any relevant resources, for
example, seats in the search room.
If there is a problem producing an item that has been ordered, for example
the item is subsequently discovered to be in poor physical condition, staff will
need to contact the researcher, as described below.
Completing the order
The researcher must be notified of whether their request was successful or not. If staff wish to contact them by email, their email address will be contained in the order request email sent from CalmView. Their contact details will also be stored in the Users database in Calm.
Reviewing orders
Using this method, orders are not stored in CalmView, so they cannot be reviewed.
