Vocabulary Fields

Vocabulary fields are fields in which users may enter terms from a pre-defined list only. They are similar to Picklist fields however, unlike a Picklist field, a user may choose to enter more than one term from the Vocabulary list into a Vocabulary field.

For example, in collections where you have items that are made of more than one material, you may choose to make the Materials field a Vocabulary field and make the vocabulary list: Leather, Paper, Wood, Parchment and Vellum. You will then be able to choose more than one term from the list to complete the field.

To complete a Vocabulary field:

• Double click in the field to see the Vocabulary list, or choose Insert, Vocabulary Item from the Edit drop down menu.
• To select a term from the list, click on it to highlight it. You may click on more than one term to highlight several terms at once.

• Click OK or press Enter to insert the highlighted terms into the Vocabulary field

When a record is saved you will receive an error message if the contents of a vocabulary field are not contained in the vocabulary list, providing that the Validation options have been set accordingly.

Vocabulary lists may be altered, added or removed using Admin.
