Linking Data

The linked data feature enables you to add data from external sources into fields on your Calm records. By default, the following data sources are available in Calm: AIM25, British Library and Wikipedia. Please note: You will need an internet connection to access external data sources and this connection will be subject to environmental conditions such as your network speed and performance, which are not under Axiell's control.

For details of how to add new data sources, how to configure them so that Calm can request data and recognise the format it is returned in and how to test a data source that you have configured, as well as how to edit or delete existing data sources, see the 'External Linked Data' page.

This page details how to link external data to your Calm records.

How to Link Data

By default, it is possible to link external data to the Catalog, Persons and Places databases in Calm. To add or configure data sources for other Calm databases, see the 'Configuring or Modifying Data Sources' section on the External Linked Data page.

With a record from one of these databases on screen:

  • Catalog database - press the Authorities button in the left hand button strip, followed by the Linked Data button.
  • Persons database - press the Linked Data button in the left hand button strip.
  • Places database - press the Linked Data button in the left hand button strip. Please note: the Linked Data button will only be available when there is data in the PlaceEntry field.

  • The Link Data wizard will appear, showing a list of data sources relevant to the current database. The first step in the wizard is to choose a pre-configured data source from the list.

  • Click the Next button.

  • Select one or more fields from your Calm record to submit to the external data service and/or type some text to search for (in the box below the list of fields).

  • Click the Next button. Calm will now search the selected data source. You may have to wait for the external data source to respond (during this time a 'Not Responding' message may appear temporarily).

  • Review the matches returned from the data source. Select the items that you wish to link to your Calm record.

  • If you have more than one record in your current hitlist, click the Next button. Then choose whether you wish to add the linked data to the current record only or all records in the hitlist.

  • Click the Finish button to add the linked data fields to the selected record/s.
Please note: For the LinkedUrl field(s), you can use the F9 key to toggle between displaying the link (with a world icon) and the source i.e. the URL address.

Please note: If the Linked Data button does not appear, no appropriate data sources have been configured for the current database. See the 'Configuring or Modifying Data Sources' section on the External Linked Data page, which explains how to add and configure a new data source via the Administration Menu in Calm.
