Changed names
Sometimes a place can have a name change, for instance Poplar became part of Tower Hamlets. Let us suppose we have a Place record for Poplar and want to show the name change. There are two options, which one you choose will depend on whether you want to keep the old record. Use the Change Place method to keep the existing record or use the Use Ref method to replace it.
Change Place method
Find the record that you wish to change. Press the Record button, then the ChangePlace button. A new Place authority will be created, with a Changed From field that refers to the code of the original record. Enter all the new details into this record.
You can press the Changed From button next to the field on the new record to view the original record and you can press the Changed To button on the original record to view the new record.
If this place name changes again in the future, you will need to perform this change function on the newest record (i.e. once you have changed an original record this function will no longer be available on that record).
You can search for all linked Catalogue records from any of the Place records (old, changed records or new).
Use Ref method
Following the example above; first find the Poplar record and change the name to Tower Hamlets.
Then select New from the Places Menu, followed by UseRef in the Select Record Type dialogue box. (The UseRef record type is optional and is only used for a place name change).
This creates a simple record with two fields, here is an example blank UseRef record. See the Complete Field List in the Calm section for further details. Please note that the example record will open a new window, when you have finished and wish to return to this page, use the cross in the top right corner to close the window.
Enter the old name in the PlaceName field, in this example Poplar. Enter the new name in the Use field, in this example Tower Hamlets.
Pressing the Use button next to the field will take you to the Place (now containing Tower Hamlets) record. This ensures that during searching you can move easily to the required record. The link between the records and the ability to switch between them will only work if the content of the Use field matches exactly the contents of the PlaceEntry field on the record you wish to link it to.
When you search for the old name, in this example Poplar, the UseRef record will be shown informing you of the new name to use. You can press the Use button to access the record or use the new name to search again.
